Privacy policy

How DachVox handles personal data: sparingly, processed in the EU, transparently and in line with the GDPR.

Protecting your personal data matters to us. This policy explains which data we process, for what purpose and on what legal basis, and what rights you have. This English version is a courtesy translation; the German version prevails.

Third country: operated outside the EU

DachVox is operated from Kosovo, that is outside the EU. The GDPR applies here under the marketplace principle (Art. 3(2) GDPR).

Controller within the meaning of the GDPR for this website and for enquiries you send directly to us. For the data of our clients' callers, the roles set out in the section on the two roles apply.

Two roles: controller and processor

For this website and for enquiries you send to us yourself, DachVox is the controller and this policy applies directly.

When we run the phone and customer service for a company, we process the callers' data on behalf of that company. The company is then the controller and DachVox is a processor under Art. 28 GDPR, based on a data processing agreement we conclude before starting. For those callers, the privacy policy of the respective company applies.

Hosting and server log files

This website is hosted on infrastructure within the EU. When the site is accessed, the server automatically collects information transmitted by your browser, such as the IP address, the date and time of access, the page requested and technical details of the browser and system. These server log files are technically necessary to deliver the site reliably and securely.

The legal basis is our legitimate interest in secure and reliable operation under Art. 6(1)(f) GDPR. The log files are stored only briefly and then deleted.

Contact form and enquiries by email

When you reach us via the contact form or by email, we process the details you provide: name, optionally company and phone number, email address, the selected topic and your message. We use these details solely to handle your enquiry and reply to you.

The legal basis is the initiation or performance of a contractual relationship under Art. 6(1)(b) GDPR and your consent under Art. 6(1)(a) GDPR, which you give when submitting. You can withdraw your consent at any time with effect for the future. To send the form message we use an email service provider that processes the data on our behalf.

Calls, recording and use of AI

In the ongoing phone customer service for our clients, an AI voice assistant may take calls. Callers are informed that an AI is speaking. This disclosure is mandatory under the EU AI Act and a fixed part of every call.

Calls are only recorded where prior information and consent have been given and where it is necessary for the agreed purpose. Without consent there is no recording. Processing and storage take place on infrastructure within the EU. This processing is carried out on behalf of the respective company on the basis of the data processing agreement; the details on purpose, scope and deletion are set out there.

Recipients and processors

We share personal data only where it is necessary for the stated purposes. This includes carefully selected service providers acting on our behalf, for example for hosting, sending emails and operating the AI voice platform.

Data processing agreements under Art. 28 GDPR are in place with these providers. Where possible, we choose providers that process within the EU. Any transfer to third countries takes place only where appropriate safeguards under the GDPR exist.

Based in Kosovo and third-country aspects

DachVox is based in Kosovo and therefore outside the EU. As we deliberately address companies and people in the EU and the DACH region, the GDPR applies under the marketplace principle (Art. 3(2) GDPR).

Where processing takes place outside the EU, we ensure an adequate level of data protection through appropriate safeguards within the meaning of the GDPR.

Your rights

You have the following rights regarding your personal data:

  • Access to the data stored about you (Art. 15 GDPR).
  • Rectification of inaccurate or incomplete data (Art. 16 GDPR).
  • Erasure of your data, where no retention obligations apply (Art. 17 GDPR).
  • Restriction of processing (Art. 18 GDPR).
  • Data portability in a common format (Art. 20 GDPR).
  • Objection to processing based on a legitimate interest (Art. 21 GDPR).
  • Withdrawal of a given consent with effect for the future (Art. 7(3) GDPR).
  • Complaint to a data protection supervisory authority (Art. 77 GDPR).

Storage period

We store personal data only as long as it is necessary for the respective purposes or as legal retention periods require. Enquiries via the contact form are deleted once they have been fully handled and no retention obligations apply.

For data we process on behalf of our clients, deletion follows the respective data processing agreement.

Cookies, analytics and tracking

At launch, this website uses no analytics, marketing or tracking cookies and embeds no external analytics services. There is therefore no cookie banner. Should such services be added in future, we will, where required, obtain your prior consent and update this policy.

Encryption

For security reasons this website uses TLS encryption. You can recognise an encrypted connection by the lock symbol in your browser's address bar. This protects the data you transmit to us in transit.

Changes to this policy

We update this privacy policy when our services, the service providers used or legal requirements change. The version published on this page applies in each case.
